GranRondo.cc Terms and Conditions


Summary of the main terms

Participation in routes and events of GranRondo.cc is entirely at one's own risk. The organization accepts no liability for adverse events or damage, direct or indirect, that may occur to you or others.

Each Participant is personally responsible for having valid insurance that provides sufficient coverage for unforeseen circumstances. The organization does not provide insurance.

Participation is self-sufficient: the organization does not provide technical or medical support, unless explicitly stated for a specific event.

Are you registering someone else? Then you ensure that this person is informed of these terms in advance and agrees to them.

Youth under 18 years may only participate with written consent from a parent/guardian and under the supervision of an adult.


1. Definitions

1.1 Purchase
Any service or product purchased by the Participant from the Provider.

1.2 Participant
Any natural person who participates in an Event of the Provider, whether paid or free, directly or indirectly, independently or through a third party, is present or involved, regardless of the method of registration or sign-up.

The term Participant also includes any person who is registered, signed up, or brought along by or on behalf of another Participant.

These terms apply unabridged to every Participant.

1.3 Event
Participation in one or more bike rides and associated activities, both:
a. individually or in a group at one's own convenience, or
b. in a group format organized by the Provider.

1.4 Provider
GranRondo.cc is part of Gran Rondo, registered with the Chamber of Commerce under number 98810227.

1.5 Facilities
All facilities, products, and/or services associated with a Purchase, such as tickets, refreshments, vouchers or discount coupons, accommodations, roadside assistance, etc.

1.6 Membership
A subscription form concluded by the Participant with the Provider, which grants certain benefits, services, content, products, or privileges during the term, in accordance with the membership content applicable at that time. A membership is personal and non-transferable, unless the Provider explicitly allows otherwise in writing.

1.7 Member / Members
The Participant who has a valid and active membership with the Provider. The term 'Members' refers to multiple individuals with a valid and active membership.


2. General

2.1 These terms apply to all agreements (whether or not through an intermediary) in which the Provider organizes an Event directly or indirectly.

2.2 By registering, participating, or being present at an Event, the Participant unconditionally agrees to these terms.

Deviations from these conditions are only binding when the Provider has expressly confirmed this in writing.

Any general terms and conditions of third parties do not apply.


Participation and registration

Participation in an Event is completely voluntary and at the Participant's own risk.

Each Participant generally registers independently. If a Participant registers, signs up, or brings another person — regardless of whether this is paid or free — the Participant ensures that this person has been informed of these conditions in writing beforehand and agrees to them. These conditions apply unconditionally to every participating person, regardless of the method of registration. For minors, participation is only allowed with written consent from a parent or legal guardian.

Registration can only take place:

• online via the Provider's website or registration form, or

• on-site, if this has been announced in writing or via video by the Provider.

These conditions apply fully and unconditionally even for free Events, introductory rides, social rides, or participation without formal registration, as if there were a regular registration by the Participant themselves.

Participation is only possible as long as tickets or spots are available. Sold-out Events do not entitle participation.

The registration fee is collected immediately via iDeal, Bancontact, or credit card for online bookings. For on-site registration, payment must be made in cash and exact.

Participation is only valid after full payment of the registration fee.

Young people under 18 may only participate with written consent from a parent/guardian and under the supervision of an adult throughout the entire Event. Registration must be done by an adult Participant.

Start numbers and/or wristbands provided by the Provider are personal and non-transferable. They must be worn visibly and correctly.

Participants are not medically screened. The Provider advises a medical check-up beforehand and expects that Participants are in good physical and mental health and participate adequately prepared.

Participants are responsible for ending their participation if circumstances or health require it.

The Provider cannot be held liable for medical consequences of participation.


Purchases

A purchase without a specific date is valid for at least 30 days. If the Provision is no longer available after this period, the Provider's obligation to deliver expires.

Third-party vouchers or discount coupons do not entitle claims against the Provider.

Purchases are binding and non-refundable unless otherwise stated.

Transfer of tickets can only be done via an email to mr@granrondo.cc is only valid after confirmation by the Provider.

Resale of tickets or other Purchases outside the permitted procedure is not allowed. Detected violations will result in invalidation without refund.

Digital files associated with a Purchase are available for download for 1 month. Extension can be requested, but the Provider is not obligated to do so.

Information or files received by the Participant (such as route guides) are strictly personal and may not be shared, disclosed, or used commercially without written permission from the Provider. Any damages resulting from this may be claimed by the Provider.

Rights to a Purchase arise only after full payment has been received by the Provider.

The Provider may cancel a Purchase for its own reasons. In that case, the Participant will receive the amount already paid back, unless an exception is included in these terms.


Price and payment

Unless otherwise agreed in writing, the listed prices are per person and include VAT.

Prices are based on rates and taxes known at the time of booking. If these costs increase more than three months after booking, the Provider may adjust the price. The Participant remains bound by this.

If a price increase is implemented within three months after booking, the Participant may cancel the agreement. The Provider and third parties are not liable for any damages in that case.

If the increase results from a legal measure (such as a VAT increase), the Participant has no right to cancellation.


Gift and discount vouchers

Gift and/or discount vouchers are valid until the specified date. After this date, they can no longer be redeemed.

Gift and/or discount vouchers cannot be exchanged for cash.


Withdrawal

After booking, there is a binding agreement between the Participant and the Provider.

Cancellation is not possible unless explicitly stated for the specific event.


Regulations

Participants adhere to applicable health, safety, and traffic regulations at all times.

Participants follow the instructions and regulations of the Provider and involved third parties.

Respect for nature, the environment, and fellow participants is mandatory. Waste is disposed of properly.

Instructions from police, government officials, landowners, and other involved parties must be followed.

Participants behave responsibly, take no unnecessary risks, and ensure their own safety and that of others.

During the event, additional behavioral rules apply, such as:

• always be able to brake suddenly,

• do not cut corners,

• ride on the right where possible (left in, for example, the United Kingdom)

• only overtake without hindering others (on the left, at least 1.5 meters away),

• wait at closed railway crossings,

• no pelotons of more than 20 participants, and

• no drafting behind motorized traffic.

Participants stop in a safe place in case of breakdowns or clothing changes.

Participants may be excluded for dangerous or disruptive behavior.


Disqualification

Participants may be excluded if they:

• not pay the registration fee,

• not wear a correct start number/wristband,

• violate the rules,

• behave inappropriately,

• ignore instructions from police, medical staff, or organization, or

• have medical issues that prevent participation.

In case of exclusion, there is no right to a refund of the registration fee.


The route

The Provider is not responsible for not being able to fully follow the route, for example due to roadworks, prohibition signs, or incorrect GPS files.

The route is publicly accessible; participants must take other traffic into account.

Participants are responsible for their own GPS device and following the route.

Participants remain responsible for their own safety, even when guided or instructed by others.

The Provider may change or cancel routes if safety requires it. This does not entitle participants to compensation or refunds.


Facilities and service

Facilities are one-time use only and can only be used within the specified period or times of the event.

Participants are responsible for being present on time at locations where facilities are available.

Participants provide their own food and drink during the route. Aid stations (if present) only provide supplies while stocks last.

Waste must be disposed of correctly.


Preparation, transportation, and equipment

Participants ensure proper physical preparation and fitness.

Participants are responsible for their own transportation to the start and finish locations.

During an event, a valid identification must be present.

Participants are responsible for appropriate clothing and equipment, including:

• bicycle helmet (mandatory),

• reflection and lighting in poor visibility,

• legal requirements for bicycles and materials.

Participants are responsible for the maintenance and repair of their bicycle.

Certain bicycles or parts (such as recumbent bikes, unicycles, aero handlebars) may be prohibited.


Medical care

Physical injury must always be reported to the Provider.

Participants must never be left alone on the route. In case of injury or exhaustion, a fellow participant must seek help and stay with the victim until professional assistance is present.


Insurance

Participants are required to ensure they have adequate insurance (liability, accident, travel).

Insufficient insurance is entirely at one's own risk.

The Provider strongly advises obtaining cancellation insurance that covers sports injuries.


Liability and indemnification

Borrowed materials must be returned in good condition. Damage or loss is the responsibility of the Participant.

Participants are liable for damage to property belonging to themselves, other participants, or third parties.

Participation is entirely at one's own risk. Participants acknowledge that there are risks, including physical or mental injury.

The Provider is only liable for damage caused by intent or gross negligence, and only to the extent that this damage is covered by insurance.

The Provider is not liable for:

• errors in routes or route descriptions,

• roadworks or detours,

• changes to the program, route, or location,

• damage caused by third parties or other participants,

• loss, damage, or theft of property,

• force majeure situations such as pandemics, extreme weather conditions, or government orders.

Participants indemnify the Provider against claims from third parties as a result of their actions.


Memberships

 

A membership at GranRondo.cc is personal, non-transferable, and valid for one year from the date of purchase, unless otherwise stated for the specific membership type.

Memberships are not automatically renewed. The Participant is responsible for timely renewing or terminating the membership.

Cancellation of the membership must be done by the Participant themselves via the account portal: account.granrondo.cc. Cancellations via email, message, or other channels are not valid. 

Any benefits, products, or extras that are part of the membership (such as merchandise, route guides, discounts, vouchers, promotions, or other items) are provided free of charge, are not redeemable for cash, and do not confer any right to compensation in case of changes, delays, expiration, or termination of the membership.

Membership does not entitle to a refund (in whole or in part), unless this is explicitly confirmed in writing by the Provider.

If a Participant violates the rules of these terms, or behaves dangerously, disruptively, or unacceptably during an Event, the Provider may terminate the membership immediately. In that case, any right to a refund of contributions, tickets, products, or benefits is forfeited.

Any discounts or benefits associated with the membership are only valid for the duration of the membership. Upon termination, all associated rights expire.

The Provider reserves the right to change membership benefits or content. If benefits or extras change, this does not entitle to refunds.

When signing up for a membership, the Participant chooses a payment method. This payment method is stored and used for future payments arising from the membership.

The membership fee is automatically collected via the payment method chosen by the Participant at the time of the first membership, unless the Participant changes this payment method via account.granrondo.cc.

The Participant is responsible for keeping the payment method valid and ensuring that automatic payments can be executed. Costs or consequences of failed collections are entirely the responsibility of the Participant.

If payment is not made on time, the Provider may suspend access to membership benefits until payment is completed. If payment is not received, the Provider may terminate the membership without refund.

The Provider reserves the right to change, adjust, or replace the content, composition, benefits, and extras of the membership at any time. No guarantees or permanent rights can be derived from the composition of the membership package. Changes do not entitle to refunds, compensation, or continuation of previous benefits.

Brand expressions and branding

Participants may use logos and branding of the Event for promotion.

Use for other purposes or modifications is not allowed without written permission.


Information provision

Information is provided via email and the website GranRondo.cc.

Participants are responsible for receiving and reading this information.


Privacy

Personal data is used for the execution of the agreement and, if applicable, shared with involved third parties.

Participants consent to the use of personal data for communication and marketing, unless they unsubscribe in writing.

Images (photo, video) may be used by the Provider for promotion, unless objections are made in advance.


Applicable law and disputes

Dutch law applies exclusively to the relationship between Participants and the Provider.

Disputes will be submitted exclusively to the competent court in the Netherlands.

In cases not covered by these terms, the Provider will decide.
